User Guide Overview

The eBillingHub End User Manual is a guide for staff that submit and track bills and are responsible for addressing rejected invoices. It is recommended that you read this manual before beginning to submit invoices using eBillingHub.

How the eBillingHub process is different from your current ebill process

  1. If you need to bill a new client electronically, eBillingHub will create the template for the new client for you. This frees the IT department or consultants from having to maintain templates.
  2. You can view the status of all your ebills in one place, on eBillingHub, instead of checking each ebilling vendor's site.
  3. Bills are validated prior to submission to the ebilling vendor. This allows you to catch and fix basic errors more quickly.
  4. In most cases, electronic bills are automatically submitted to the ebilling vendor and there is no need to log on the ebilling vendor site to upload bills. If an eBilling vendor is not supported for electronic submission, eBillingHub can still create the electronic billing file and track the invoice. eBillingHub continues to add support for new vendors.
  5. eBillingHub provides tracking reports to ensure that all invoices for electronic billing clients are submitted and to help identify invoice submissions that require follow-up.

Overview of the eBilling Process with eBillingHub

  1. The ebilling staff logs on to eBillingHub and runs the Billing Wizard.
  2. The Billing Wizard presents a list of bills eligible for ebilling.
  3. eBilling staff member selects the bills to be submitted.
  4. eBillingHub validates the format of the ebills and compliance with client specifications.

Note: At the validation page, you can open the eBillingHub editor by clicking on the notepad icon to make changes. We recommend making any necessary aesthetic changes within the editor. However, to make changes to anything that would affect the integrity of the invoices (such as totals), use your Time & Billing System and then run the invoice back through the Billing Wizard or Quick Invoice to pull the new data.

  1. eBilling staff member submits the bills to the eBilling vendor.
  2. eBilling vendor accepts or rejects ebill and sends status back to eBillingHub.
  3. eBilling staff corrects rejected invoices and resubmits.
