Invoice History

 

 

 

An Invoice History is a report of all status changes made to an invoice by eBillingHub users or eBilling vendors. Even if the invoice was paid in full and no longer on the Active Invoices list, you can still view its history.

 

Use the Invoice History report to determine:

 

·         Who updated each invoice status and when

·         If the invoice was rejected and resubmitted

·         If the invoice was processed though the Billing Wizard or Quick Invoice more than once

 

Each time an invoice is processed through the Billing Wizard or Quick Invoice, eBillingHub assigns it a different reference number.

 

To generate a history report for an invoice, follow these steps:

 

1.      Select Reports/Dashboards from the Reports menu.

2.      Select Invoice History from the Billing tab.

3.      Enter an invoice number and click Retrieve to display an invoice history report similar to this example:

 

The report lists each status change on a separate line with the most recent status listed first. The following table describes the report columns.

 

Column

Definition

Recipient

Identifies the eBillingHub supported recipient, which may map to multiple clients.

Total Due

The sum total of all invoice line items related to fees and expenses.

Invoice Date

The date the invoice was posted in the firm's Time and Billing system.

Ref #

Lists a unique reference number assigned by eBillingHub for each time the invoice was processed through the Billing Wizard or Quick Invoice. Invoices are assigned a reference number whether they are automatically submitted to an eBilling vendor or placed on hold.

Status

Lists all eBillingHub status changes for the invoice. The most recent status is listed first. To view ebilled information for green color-coded statuses (ebilled, in review, approved, payment sent, and reduced) click the status text. To view rejection reports for red color-coded statuses (rejected, appealed, and more info required) click the status text. For a description of each status, click here.

Status Time

The date and time the status was changed to the status listed in the Status column.

User

Identifies the eBillingHub user, or eBilling vendor (via an email response to eBillingHub), who initiated the status change.

View Invoice

Click the View link in this column to display the invoice data in the format required by the eBilling vendor or client.

 

 

4.      To view a summary of all status changes, click the View Details link:

5.      To print the summary details, click the Print icon . To close the screen, click the Close icon .
