eBilling Setup on Legal eXchange
The following steps must be completed on Legal eXchange to successfully
submit invoices through eBillingHub. The client may impose additional
requirements.
- The eBilling Vendor connectivity for Legal
eXchange must be correctly set up with a valid password. For more
information, see Configure
eBilling Vendor Connectivity.
- If a firm has more than one office location
in Legal eXchange, the Law Firm location codes must be set. For more
information, see Set
Law Firm Locations for Legal eXchange.
- The clients to be billed in Legal eXchange
must be set up and accessible by the eBillingHub user.
- For each client, the Matter must be reconciled
and the Reconcile Matter ID should match the matter ID in the Firm's
system.
- For each client, the Firm Info, Client IDs
must be set that match the client ID in the firm's system.
- For each client, the Firm Info, Email Listing
must be set for the eBillingHub user. For more information, see Set Email Listing on Legal
eXchange.
- All timekeepers on the invoice must be active
timekeepers, and the timekeeper ID must match the timekeeper ID in
the firm's system.
- A budget must be entered and approved for
the matter.
Set Email Listing
on Legal eXchange
The email listing must be set so that eBillingHub receives emails. This
must be done for each law firm location and client when the new eBillingHub
user is created. If a new client or law firm location is added, the email
listing will need to be set for any users, including the eBillingHub user
that should receive emails for that client's invoices.
To set an email listing:
Click the Firm
Info tab and click the Email
Listing link.

- Click the New
Invoice link. The Email Notification
Detail window displays.

- Click eBillingHub
user from the Available
Users box and click on the arrows pointing to the right. The
eBillingHub User is added to the Assigned
Users box.
- Click Save.
eBillingHub will now receive email alerts when new invoices are created
in Bottomline.
- Click the Email
Listing link and click Vendor
Invoice Note.
- Follow the same procedure listed above so
that eBillingHub will receive email notifications when Bottomline
sends an invoice alert.
Set Law Firm
Locations for Legal eXchange
If your law firm has multiple locations, eBillingHub support will need
to set up these locations before submitting to Bottomline. Contact eBillingHub
Support with a list of location codes and corresponding descriptions,
and indicate the default location. The location codes normally correspond
to the codes that appear in Legal eXchange in the Law
Firm Select drop-down list. For example, if you see "New Office
A - AAA123" in the drop-down list, you would use AAA123 as the code
for that location.
Once these codes are set up, they will be listed at the bottom of the
screen. If you are billing a location other than the default, you will
need to populate a user defined field (UDF) with the location code from
this page that corresponds to that location. Use Map
Client Extended Fields to map the LawFirmLocationId to this user defined
field.
