Access the Connectivity Page for LexisNexis CounselLink

To access the Connectivity page for LexisNexis CounselLink:

  1. From the Main Menu, go to Configuration.
  2. Click Configure eBilling Vendor Connectivity.
  3. Click the LexisNexis CounselLink link. The Configure Connectivity to LexisNexis CounselLink window displays.

CounselLink - Admin Reset Password

A CounselLink user with an Administrator role can reset a password using the following steps:

At the CounselLink home page, find the Profiles section. Under Offices, click the link for your office. A CounselLink user with an Admin role can reset the password for the eBillingHub user.

  1. Navigate to the Office Roles section and find the eBillingHub login.
  2. In the left-side menu, click Reset Password.
  3. A window will pop up, explaining that new password instructions have been mailed to the user.
  4. Click Continue to return to the Law Firm Individual Profile.
  5. The Hub will forward the email with the password reset instructions. See the example below. Follow the instructions in the email to reset the password, and enter the new password in the eBillingHub CounselLink Connectivity screen at https://www.counsellink.net/login/login.jsp.

2) Enter your desired password in the fields provided (you will need to confirm your password in the second field)

 

3) Enter your password reminder information. If you have not already entered your password reminder information, you will be required to enter this information at this time. (e.g., What is your favorite food?) from this page.

 

4) Click Submit, and you will be navigated to the CounselLink home page.

 

For security purposes the link above will expire within 24 hours. Therefore, it is important that you set your password as soon as possible.

 

If you click the link after this period, you will be unable to reset your password and must click on the "Did you Forget Your Password" link from the CounselLink login page, and follow the instructions therein.

eBilling Setup on CounselLink

The following steps must be completed on CounselLink to successfully submit invoices through eBillingHub.

  1. The eBilling Vendor connectivity for LexisNexis CounselLink must be correctly set up with a valid password. For more information see, Configure eBilling Vendor Connectivity.
  2. The law firm's tax ID in CounselLink should match the tax ID in the eBillingHub Law Firm Profile. For more information see, Law Firm Profile.

The following steps must be completed for a matter in CounselLink before invoices can be submitted for that matter:

  1. The client must assign the matter to the Law Firm.
  2. The Law Firm must accept the assignment. Click the Unaccepted link in the Matters section on the Home Page to accept matters.
  3. The client may require a staffing list for a matter. This is entered in the Law Firm Assignments section of the Matter Detail page.
  4. The client may require a budget for a matter.
  5. Either the Corporate Client ID or the Law Firm Matter ID should be entered. The Corporate Client ID is recommended, because it needs to be done only once per client. For more information see, CounselLink - Set Corporate Client ID or CounselLink - Set Law Firm Matter ID.

The following steps must be completed for a timekeeper in CounselLink before an invoice is submitted that includes time for that timekeeper.

  1. The timekeeper must be added as an Individual for the office for which the invoices will be submitted. Each timekeeper must have an ID that is unique for the law firm. This ID should match the ID in the Law Firm's Time and Billing system that will be included on the invoice. For more information, see CounselLink - Add Timekeepers.
  2. The applicable timekeeper rates must be entered as a fee offer, accepted by the client, and active. For more information see, CounselLink - Add Timekeeper Rates.
  3. The Law Office Profile option to Add Unknown Timekeepers to Invoice should be set to No. If this is set to Yes and if an unknown timekeeper is on an invoice, the invoice will get stuck in received status instead of being rejected. For more information see, CounselLink - Add Unknown Timekeeper Preference.

If a matter needs either a staffing list or a budget, the matter status is Pending Resolution. These matters can be viewed via the Pending Resolution link in the matters section of the CounselLink Home Page.

CounselLink - Set Corporate Client ID

To enter the Corporate Client ID:

  1. At the CounselLink Home page, find the Profiles section. Under Offices, click the name of your law office.
  2. Every office can choose its own Corporate Customer ID. Ideally, all offices would choose the same name.
  3. Scroll to the bottom of the Law Office Profile page and find the Corporate Customer Identification section.
  4. Click the box next to a client's name.
  5. Click Edit to go to the Corporate Customer Relationship page.
  6. At the field Corporate Client ID, find the ID from the list at https://legal.ebillinghub.com/site/CounselLinkNote.html. This should be an exact match.
  7. Click Submit to return to the previous page. This completes the process. 

CounselLink - Set Law Firm Matter ID

To enter a Law Firm Matter ID:

  1. In CounselLink, click on the Matters tab.
  2. Search for the matter.
  3. In the Matter List, click Matter Title to select the applicable matter.
  4. Click Edit to access the Matter Edit screen.
  5. In the Matter ID field, type in the applicable Law Firm Matter ID, including any leading zeroes.
  6. Click Submit to complete the process.

CounselLink - Add Unknown Timekeeper Preference

To set Add Unknown Timekeeper Preference:

  1. At the CounselLink Home page, find the Profiles section. In the Offices section, click the link to your office.
  2. Under Office Information, click Edit. Look for the option labeled Add Unknown Timekeepers in invoice.
  3. At the bottom of the screen, click No to turn this feature off.
  4. Click Save.

CounselLink - Add Timekeepers

To add timekeepers:

  1. At the CounselLink Home page find the Profiles section.
  2. Click the link for your office under the Offices header.
  3. Click Create an Individual.
  4. Complete the Individual Information form.
  5. Click Save.
  6. At the Individual Roles Administration page, roles are assigned based on the title of the person being signed up. Make changes at your own discretion.
  7. Click Save.

CounselLink - Add Timekeeper Rates

Unless the corporate client is setting the fee rates, timekeeper rates are set by entering a Fee Offer, which must be accepted by the client before it can be used.

  1. At the CounselLink Home page, find the Fees section.
  2. Click the Offer/Update Fees link.
  3. From the Law Firm Office drop-down list, select the office for which you are entering fees.
  4. Click Private for the Group Type.
  5. Leave the remaining fields blank to create a list of all fee structures, or specify a corporate customer.
  6. Click Search to begin.
  7. Click the Fee Structure ID number for the structure to be reviewed.
  8. At the Fee Structure Overview page, click Add Fee Offer. If there is no button, the fee offer is not active, or an offer has already been created.
  9. In the Offers column, fee structures with a "0" do not have any offers pending. Only one offer can be active at any time for any fee structure.
  10. Fill in the Currency Type field and Exchange Rate fields if your firm is not billing in US dollars. Go to the website www.xe.com to look up exchange rates.
  11. Depending on the client, there may be a place to enter level (blended) rates for the billers, based on their title.
  12. Enter the hourly rate for each person, in whole US dollars only. If no rate is input, the client will not see the biller's name.
  13. At Step 2, Effective Date section, enter the Effective Date or leave as Now. Some clients may allow predated fee structure.
  14. At Step 3, Applicable Counties, Private law firms, make sure that NA is listed in the Offered Counties box on the right side of the screen.
  15. Click Save.
  16. Click OK. Return to the Fee Structure Overview page for status information regarding the fee offer.

Track CounselLink Invoices

  1. An invoice must pass the following automated validations before the invoice is successfully uploaded:
  1. Corporate Protocol Review. This is an automated review process. CounselLink sends an email with the results of this review.

The following statuses are tracked in CounselLink. There is a link for each status on the Invoices section of the Home Page.

No status - invoice not in CounselLink

The invoice was not successfully uploaded because it did not pass the initial validation

No specific email for an invoice. There is a general email with the subject Important Notice Regarding Your CounselLink Invoices which includes instructions.

Created

This invoice was successfully uploaded, but failed the Corporate Protocol Review, or the Client has reviewed and rejected the invoice. Further action is required by the Law Firm.

Email with the subject: CounselLink - Invoice Upload Results.

Review Required

The law firm must review an adjusted invoice. This is for use during collaborative review or during the appeals process. Further action is required by the Law Firm.

No specific email for an invoice. A general email subject line of these emails is Important Notice Regarding Your CounselLink Invoices.

On Hold

The invoice is ready to be sent to client, but because of a pending matter status, the invoice cannot be sent. For example, a final invoice may be ready to be sent, but is waiting on the corporate customer to close the matter.

None. User must check the status in CounselLink.

Scheduled

Invoices created prior to a pre-set billing day will be held in this status. Some corporate clients require that invoices are only sent during certain time periods. Invoices at this status can be edited within CounselLink.
