Searching and Displaying Emails

 

 

 

To make it easier to find emails, you can use the Profile Emails filters to search for and display a subset of all incoming emails. You can also filter the email list to display profiled emails and only emails containing attachments.

 

To filter the email list, follow these steps:

 

1.      Select Profile Emails from the Tracking menu.

2.      Enter a Start Date and an End Date corresponding to the date range for the desired emails. By default, these fields are populated with an End Date of today's date and a Start Date of one month earlier. You must limit your date range to a one-month time frame.

 

 

Click inside the date boxes and type the desired dates. You can also use the interactive calendar  to select the dates.

 

The only required filter is the date range. All other filters described below are optional.

 

3.      By default, only unprofiled emails are displayed (emails that have not been associated with an invoice). To also display profiled emails, click the Display Profiled checkbox:

 

 

4.      To find emails related to a particular subject, enter a keyword from the email's subject line in the Filter Subject field:

 

 

5.      To find emails from a particular sender, enter all or part of the sender's email address in the Filter Email From field:

 

 

6.      To filter the email list to just those emails containing attachments, click the Only Emails W/ Attachments checkbox:

 

 

7.      Click the Get Emails button.

 

Profile Emails then displays the emails that meet your filter criteria along with a legend that defines the icons associated with the emails.

Use/Meaning

Click the magnifying glass icon to view the desired email.

One or more attachments exist for the email. You can open these attachments when you view the email using the magnifying glass icon.

The email has been profiled (related to an invoice).

 

The email has not been profiled (related to an invoice). When you view the email, you can also manually profile the email.

 

Click the history icon to view the email's history including a list of users to whom the email was sent, the date and time it was sent and the reason it was sent.

 

To sort the data in a column, click the column heading. If there are multiple pages of email results, the page numbers appear in the lower left corner of the list. Click a page number to go to that page.

 

 

To view an email, follow these steps:

 

Click the magnifying glass icon  for the desired email. This action displays the email in a pop-up screen. If the email has not been profiled, this screen also lets you relate an invoice to the email. To open an email attachment, click the attachment filename.

To print the email, click the Print icon . To close the screen, click the Close icon .
