Troubleshooting Missing or Invalid Invoice Data

If the rejection error lists a specific field that has missing or invalid data, there may be one of the following issues.

The eBilling vendor requires the data from the incoming invoice to match data that is already set up on the eBilling vendor's site. The client matter ID, timekeeper ID and timekeeper title are the most frequent examples.

  1. Check the eBilling vendor's site for the required data, and correct if necessary. If the data needs to be corrected on the eBilling vendor's site, you can resubmit the invoice as soon as the data is corrected; you don't need to rerun Billing Wizard or Quick Invoice. For more information, see Resubmit a Rejected Invoice.
  2. Check to see if the UDF for the missing or invalid data is mapped correctly from your Time & Billing system. You can check the mapping in Configure eBillingHub, Map Client Extended Fields. Time and Expense code locations in the Time & Billing system are mapped in Configure eBillingHub, Map UTBMS Codes. If you change this mapping, you will need to rerun the invoice through either the Billing Wizard or Quick Invoice and submit the invoice.
  3. If the UDF for the missing or invalid data is mapped correctly, check the value in the UDF in the Time & Billing system. If you make a correction in the Time & Billing system, you will need to rerun the invoice through either the Billing Wizard or Quick Invoice and submit the invoice.

eBillingHub can map codes such as timekeeper titles, matter arrangement types, and expense codes. If you change the mapping, you will need to rerun the invoice through either the Billing Wizard or Quick Invoice and submit the invoice.

  1. If the reject is related to an expense code, check for an expense code mapping at Configure eBillingHub, Map Expense Codes. If there is an expense code mapping, click next to the expense code map to see the mapping.
  2. If the rejection is related to an invalid tk_level, check the timekeeper title mappings at Configure eBillingHub, Map Timekeeper Titles.

To see exactly what is being sent to the eBilling vendor, you can view the electronic billing file. For more information, see Save the Electronic Billing File.
