This Help topic describes the Invoice Data Options listed on the Billing Wizard Configuration screen. Most options are common across Time and Billing systems. However, the Billing Wizard Configuration screen at your firm may only display a subset of these options as required by your Time and Billing system.
Obtain Law Firm Description from my Time & Billing System
Some clients require your firm's contact information with the electronic invoice. When this option is checked, the Billing Wizard extracts this information from your Time and Billing system. When this option is unchecked, the Billing Wizard extracts this information from your law firm profile. Recommended setting: unchecked
Obtain Client Description from my Time & Billing System
Some clients require client contact information with the electronic invoice. When this option is checked, the Billing Wizard extracts this information from your Time and Billing system. When this option is unchecked, the Billing Wizard uses default information for the client.
Recommended setting: checked
Percentages in Extended Fields are between 0 and 100
Some clients are responsible for paying only a percentage of an invoice. This percentage is normally stored in a user-defined field (UDF). Check this box if your Time and Billing system stores percentages as values between 0 and 100 (for example, 32 means 32%). Leave it unchecked if your Time and Billing system stores percentages as values between 0 and 1 (for example, 0.7 means 70%).
Use Timekeeper Billing Initials
When checked, the Billing Wizard identifies timekeepers by their initials.
When unchecked, the Billing Wizard identifies timekeepers by their id as defined in your Time and Billing system.
Include Bill-No-Print ("BNP") entries
When checked, the Billing Wizard includes BNP entries for an invoice.
Use Rank as Timekeeper Title
When checked, the Billing Wizard extracts the timekeeper's title from the Rank field.
Ignore time entries with $0 value
When checked, the Billing Wizard does not include time entries with $0 value in an invoice.
Ignore cost entries with $0 value
When checked, the Billing Wizard does not include cost entries with $0 value in an invoice.
Obtain Invoice Description From Description Timecards
When checked, the Billing Wizard extracts the invoice description from the description timecards. When unchecked, the Billing Wizard uses the default information for the invoice.
Move invoice start date to first day of month
When unchecked, the invoice start date is the date of the oldest time or cost entry of the invoice. When checked, the invoice start date is the first day of the month of the oldest time or cost entry of the invoice.
Move invoice end date to last day of month
When unchecked, the invoice end date is the date of the newest time or cost entry of the invoice. When checked, the invoice end date is the last day of the month of the newest time or cost entry of the invoice.
For posted invoices, use today's date as the invoice date
When checked, the date of the invoice is the date on which you process the invoice through the Billing Wizard. When unchecked, the invoice date is the date the invoice was posted in your Time and Billing system.
For prebill invoices, use today's date as the invoice date
When checked, the date of the invoice is the date on which you process the invoice through the Billing Wizard. When unchecked, the invoice date is the date the prebill was generated in your Time and Billing system.
Adjust for Rounding Errors
When checked, the totals in your invoice are recalculated to fix any rounding errors in your Time and Billing System.
Keep matter total when rounding
When checked, the matter total remains consistent with the total in your Time and Billing System regardless of rounding.
Include Applied Payments
When checked, the Billing Wizard display includes payments applied to an invoice.
Skip Expense Code mapping
When checked, the Billing Wizard (as well as Quick Invoice) extracts the expense codes directly from your Time and Billing system, completely ignoring any expense code mappings.
Use Client Matter Code as Matter Number
When checked, the Billing Wizard uses the client matter code as the matter number.
Display Interest-Only Invoices
When checked, the Billing Wizard display includes interest-only invoices.
Append Cost Code Description to Expense Description (But only if narrative is empty)
When checked, the cost code description is appended to the expense description. If the second checkbox is checked, the cost code description will only be appended when the narrative is empty.
Use mname as Matter Number
When checked, the Billing Wizard uses the value in mname as the matter number.
Show difference between base rate 01 and billed rate as an adjustment for matters where field
'(click to change)' contains the following value:
To display the difference between a base rate and billed rate as an adjustment, first select the checkbox, and then click the link labeled click to change. A pop-up screen showing a list of extended fields appears. Select a field from the list, and then enter a value for the selected field in the data box. Anytime the extended field value equals the value you entered, the difference between the base rate and billed rate for an invoice will be shown as an adjustment.
Show difference between actual and billed amounts as an adjustment:
When checked, the difference between the actual amount and billed amount is listed as an adjustment.
Show difference between actual and billed hours as an adjustment:
When checked, the difference between the actual hours and billed hours is listed as an adjustment.
Use field '(click to change)' to override the currency on the invoice (exchange rate will be applied):
To override the currency value, first select the checkbox, and then click the link labeled click to change. A pop-up screen showing a list of extended fields appears. Select a field from the list. The Billing Wizard will use the value of the selected field for the invoice currency and apply the current exchange rate in the amount.
Flag Entries as Flat if description contains the following value:
When checked, eBillingHub flags invoice entries as Flat if the description contains the value you specify in the data box.
