Taking Action on an Invoice

 

 

 

Active Invoices lets you perform several actions on selected invoices as explained in the following table. (For more information on a particular action, click its link.)

To...

View Invoice

View the invoice file in the format that will be sent to the eBilling vendor or client. (For example, LEDES98B, LEDES 2000.) You may want to use this action when testing the setup for a new client.

Update status/Add Comment

Manually update the status of an invoice and optionally add a tracking number and comments.

Stop tracking invoice

Manually remove an invoice from Active Invoices. You may need to do this if:

·         The invoice is canceled in your Time and Billing system and replaced with a new invoice number.

·         The invoice is being resubmitted using a different eBillingHub client.

·         The invoice is not going to be ebilled for some reason.

Save Invoice

Save the invoice to a file. You may need to do this if the invoice is in a "hold" status because it must be submitted manually.

Synchronize Invoice

Synchronize the data between eBillingHub and your Time and Billing system. This action updates the Total Payments and Remaining Balance data in Active Invoices. If an invoice is marked as paid in the Time and Billing system, synchronization updates the status to paid in eBillingHub and removes the invoice from the Active Invoices list.

View Invoice Emails

Display the emails from eBilling vendors that have been profiled (related to the invoice).

View All Invoice Information

View all tracking information for the selected invoices. The information for each invoice appears in a separate pop-up screen.

View Selected eBilled Info

View all tracking information for specific ebilled invoices.

View Selected Rejection Info

View all error reports for specific rejected invoices.

Uncheck All Invoices

Deselect all selected invoices in the Active Invoices list.

 

To select an action, follow these steps:

 

1.      Select the invoices on which to perform an action. You can select invoices individually by clicking the invoice's checkbox in the Sel column.

 

 

You can also click View All and then click the Select All Invoices checkbox to select every invoice in the Active Invoices list.

 

 

When you select multiple invoices, the selected action is performed on all invoices simultaneously.

 

2.      Select the desired action from the Action list box, and then click Go.
